I have been engaged in the foreign trade industry for more than ten years and have nearly seven years of documentary work experience.

As a foreign trade merchandiser, first, you need to make it clear that this position is set up as a communication between foreign customers and manufacturers and to consider the urgent needs of both parties.  Second, you must have a strong sense of time, grasp each time node, and find and solve problems in time.  Third, you must have clear logical thinking skills to prevent fragmented operations from causing inefficiencies and errors.  Finally, good teamwork ability is required in documentary positions.  Documentary is an important position that promotes the smooth progress of trade.  It needs to coordinate with the business, the QC department, and the document department.

As a documentary, you must pay attention to the details.  For example, a wrong word on the packaging will lead to re-work and loss.  Therefore, it is necessary to repeatedly check and confirm various packaging details.  When dealing with such detailed work, you can choose to perform multiple checks at different time nodes to prevent the problem from occurring.  The first draft, revised draft, and final draft are considered as three nodes, and each node is checked multiple times.  In the case of revised drafts, each revised draft needs to be reviewed comprehensively to ensure that no new errors will appear.

At the same time, in product quality control, we also need to pay attention to the details.  Every newly developed product needs to communicate quality details with the business before production and communicate feedback to the QC department.  Also, communication with the factory during production to ensure that the products can meet the requirements of customers.

In short, the documentary position is like a “bridge.”  It is our responsibility to make the “bridge” effective by paying attention to details and carrying out adequate communication to ensure the smooth progress of the entire process.
